Job Description:

Position Summary:

* Receive, audit and process all hourly and salaried payroll information in compliance with collective bargaining agreements, federal and state laws, and Company policy and procedures.

Essential duties and responsibilities which must be performed in order to carry out the position purpose summarized above:

* Performs checks and balances for various parts of the payroll process to assure accurate and timely processing. Prepares payroll for transfer from timekeeping to payroll software by creating an export file for data verification, subtotaling hours, checking for negative amounts, etc.
* Monitors, edits, and verifies payroll information is in compliance with collective bargaining agreement and established policies and procedures, including: timecard approval, eligibility for vacation and holiday pay, overtime, verify and process 6th & 7th day overtime claims per contract, probationary guidelines, relocation, flexible spending, etc. Checks for call-ins, show up hours, light duty, bereavement and jury duty hours, transfer codes, etc.
* Imports, prepares, enters and monitors all hourly payroll data, verifies accuracy, number checks and vouchers, creates direct deposits, and sends files to outside for printing of checks.
* Serves as liaison between employees, supervisors, management, plant managers, accounting, banks, etc. Instructs supervisors how to use time and attendance system (for example, split shifts, make transfers, add comments, correct for missing information).
* Maintains employee master file for payroll transactions.
* Processes changes such as taxes, banking, deductions, etc. Calculates and processes adjustments, as required. Conducts all daily maintenance for all plants, e.g., set up direct deposits, set up bond deductions, state and federal wage garnishments, child support, uniforms, life insurance, 401k loans, credit union deductions, shoes, safety equipment, etc.
* Processes all payroll vendor checks (for example, credit union deductions, safety shoes, child support, garnishments, and Chapter 13's) for payment and inform treasury for funding requirements.
* Respond to appropriate agencies in a timely manner for any requests for employee/payroll information (for example, verification of employment, child support, garnishment order, etc)
* Monitor new hire's for vacation eligibility and graduated rate change per agreement(s).
* Reconcile and calculate eligibility for profit sharing per contract.
* Respond to appropriate agencies requesting employee and/or payroll information.
* Audits and processes W-4's.
* Completes payroll reconciliation by pay processing for assigned pay groups (for example, reconcile taxes, union dues, 401k, moving expenses, etc. by running reports in ultimate and balancing totals monthly and quarterly).
* Reconcile and file N & T Railroad monthly, quarterly and annual tax filings.
* Works with accounting to reconcile, resolve general ledger matters.
* Assists with special projects; prepare and distribute reports as required.
* Maintains and monitors all 401k, Roth and Loan maintenance for all hourly and salaried employees. Creates and submits contribution files and requests funding for all payrolls.
* Maintains spreadsheets on HCE employees to ensure compliance with 401k regulations.
* Reconciles and submits quarterly tax reconciliations and year-end tax reconciliation and creation of W-2's.
* Assures compliance with all company policies.
* Supports continuous improvement initiatives.

Qualifications:

Specific knowledge, training, or skills required to perform the duties of this position. Specific concepts, courses, training programs or required certifications:

* Demonstrated knowledge/understanding of payroll processing and relationship to the general ledger.
* Demonstrated understanding of payroll laws and regulations.
* Basic bookkeeping and accounting skills equivalent to an associate degree in business administration.
* Demonstrated computer skills: data management and retrieval; word processing, email and internet. Advanced computer skills in Excel, Kronos, Ultipro Software or other payroll systems.
* Good written and oral communication skills.
* Interpersonal skills: ability to relate to all types of people; trust and integrity and the ability to process confidential information.
* Excellent organizational skills.
* Ability to multi-task with high degree of accuracy and ability to complete tasks in stressful/deadline situations.

Essential Physical Demands and Working Environment:

* Ability to see, communicate, hear and utilize electronic communication devices.

Previous experience that is necessary background to qualify for this position:

* Demonstrated experience in payroll processing and general accounting practices. Previous experience administering payroll within labor agreements.
