SunIRef:Event139 PURPOSE OF POSITION The Human Resources Benefits Coordinator is responsible for the administration of employee benefits in all company operations. This position provides special guidance and assistance to all locations on various employee benefit and wellness plans. The Benefits Coordinator surveys industry and/or community to determine company's competitive position in employee benefits and wellness strategies. This position develops, recommends and implements approved, new or modified plans and employee benefit/wellness policies, as well as, supervises the administration of existing plans. This position develops cost control procedures to assure maximum coverage at the least possible cost to the company and the employee. Oversight includes supervision of Human Resources staff members and significant financial budgets related to benefits, wellness, workers compensation, FMLA, as well as, retirement programs. This position reports to the Vice President of Human Resources. RESPONSIBILITIES & EXPECTATIONS Administers employee benefits such as medical, dental, vision plans, life insurance plans, voluntary benefit programs, wellness programs and retirement programs. Administers and oversee executive benefit plans Oversees the administration of FMLA, Workers Compensation and all other benefit administration/programs. Evaluates and compares existing company benefits with those of other employers by analyzing other plans, surveys and other sources of information. Plans, develops and/or participates in area and industry surveys. Analyzes results of all information to develop specific recommendations for review and approval by the Benefits Committee. Develop specifications for new plans or modify existing plans to: Maintain company's competitive position in the labor market, and Obtain a standardize benefit package for all company locations, where possible. Develop census data and solicit RFP. Gather data to analyze for benefit plan design. Evaluates and makes recommendations to leadership and Benefits Committee on company cost information and employee premium cost share for all benefit plan offerings. Implements approved new plans or changes to existing plans by preparing announcement materials, plan summary documents and other media for communicating plans to employees. Conduct employee meetings and arrange for enrollment. Advise/counsel management and employees on existing benefits. Work with the HR team and HR functional subject matter experts to develop detailed implementation execution plan and track progress against the HR Plans. Prepare and execute, with legal consultation, benefits documentation, such as original and amended plan agreements or insurance policies. Instruct insurance carriers, trustees and other administrative agencies outside the organization to effect changes in benefit programs. Ensure accurate and prompt compliance. Assists in the development of company bargaining proposals for employee benefits and analyze union benefit demands. Obtain and prepare cost data for company and union proposals and final settlements (if applicable). Assure company compliance with provisions of Employee Retirement Income Security Act, the Affordable Care Act, EEOC and ADA regulations. Supervise preparation of reports and applications required by law to be filed with federal and state agencies such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies. Review and analyze changes to state and federal laws pertaining to benefits and report necessary or suggested changes to management. Coordinate company benefits with government sponsored programs. Assures compliance with all state and federal regulations related to the administration of all AHF benefit programs Develop benefits information and statistical and census data for actuaries, insurance carriers and management. Handle benefits inquires and complaints to ensure quick, equitable, courteous resolution. Maintain contact in person, by phone or email with all companies, physicians, insurance companies, employees and beneficiaries to facilitate proper and complete utilization of benefits for all employees. Supervise staff and maintenance of enrollment and claims records for all benefit plans. Develop metrics to measure process improvements and ensure that these metrics are captured during process improvement activities. Analyze current problems and review system capabilities to determine how to conduct operations more efficiently. Serve as a liaison with third parties and other stakeholders (e.g. payroll) to ensure that they are fully supported by and efficiently using HR systems. Adheres to internal controls and reporting structure. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Performs troubleshooting in the processing or retrieval of data in Lawson - HRIS. Identify necessary changes in business processes to ensure efficient and accurate workflow and the best utilization of system capabilities in order to fit the organization business needs. Works with HR staff to develop and implement improved processes. Identifies changing systems needs due to legal or contractual changes affecting laws/regulations. Participates in strategic planning for human resource functions and services; recommends goals and objectives and oversees and/or participates in the development and implementation of human resources policies and procedures. Develops and implements short and long-term work-plans and sets priorities. Oversees, assists and consults employee relations/issues. Makes recommendations according to policy and administrative practice. KNOWLEDGE/SKILLS/ABILITIES: Strong oral, written and verbal communication skills including the ability to convey technical information to nontechnical users. Benefits administration knowledge. Working knowledge of HR systems and processes. Strong problem-solving and analytical skills. Excellent time management, project management, and organizational skills. Proven ability to multitask and manage multiple competing priorities. Ability to quickly learn new software systems. Strong attention to detail. Thorough knowledge of Microsoft Office Judgment and Tact: Handles difficult and sensitive issues with employees tactfully, exercising judgment where necessary and consulting the director on major problems and issues. Computer Skills: Maintains technical skills. Behavior and Cooperation: Maintains a positive behavior and is cooperative in all duties. Initiative: Exhibits initiative in going beyond defined duties when problems are evident, or the situation warrants extra attention. Organizational Skills: Plans, organizes and completes projects and activities independently and thoroughly. Quality/Quantity: Work needs to be clear, complete and performed in a timely fashion. Additional Duties as Required: Assists in special projects and performs miscellaneous functions as required. Attendance: Displays regular and punctual attendance according to the Employee Handbook and Departmental guidelines. Strong written and oral communication skills required. Ability to analyze facts and make recommendations based on findings. Sound judgment, high integrity and ability to maintain strict confidentiality. Able to interact and build trusted relationships with all levels of employees. EDUCATION AND WORK EXPERIENCE Required 1. A bachelor's degree and five (5) years - experience in HR/Benefits Administration, -OR- 2. A master's degree in and four (5) years- experience in HR Administration, preferred 3. Any appropriate combination of education and experience.
