Job Description Naturopathic Primary Care Clinic Manager Wild Fern Naturopathic Primary Care & Apothecary is seeking an experienced, grounded and highly organized full-time Clinic Manager to oversee daily clinic operations for our single-physician, premier clinic in Ashland’s Railroad District. POSITION OVERVIEW This is a hand-on, multifaceted role ideal for someone who enjoys responsibility, autonomy, and being the steady center of a small medical practice. Our cohesive team is founded on mutual respect and support. The Clinic Manager is the single point of contact for patients as well as the physician in a busy office, performing all front desk receptionist duties including scheduling appointments, coordinating all clinic phone, electronic and face-to-face communications, fielding and prioritizing patient/customer concerns, processing payments as a cashier, and managing clinic and apothecary supplies and inventory. In addition, the Clinic Manager will be the office, facility & grounds manager, interfacing with tenants as well as internal/external maintenance contractors when needed and ensuring that the exterior and interior environment is well kept, clean and orderly. Finally, the Clinic Manager will champion the ongoing development and improvement of clinic operational procedures, streamlining workflow and managing business operations efficiently and effectively with a continuous improvement mentality. A 90-day probationary period applies. OR Unpaid Sick leave will be accrued during this time. MINIMUM REQUIRED QUALIFICATIONS & SKILLS Must pass a background check, drug screen, and other pre-employment job requirements. Strong customer service mentality, and able to uphold an atmosphere of warmth, patience, and enthusiasm for our diverse patients. Personable and polite, with professional appearance and demeanor. Outstanding organizational, time management, and prioritization skills. Strong detail-orientation and accurate data entry. The ability to multi-task, stay motivated and be self-directed. Able to think critically and problem solve proactively. One (1) year of receptionist, office, retail, or related administrative experience. Cashier experience helpful. Excellent communication skills, both written and verbal. Comfortable with technology in general. Able to learn our patient electronic health records system. Computer skills (Word, Outlook, Excel, QuickBooks). Quick learner and self-directed, as many of the job skills can be taught on the job. Training and mentoring will be available. Experience in using QuickBooks or other financial software, or able to learn and navigate quickly. Proficient with Microsoft Office (Word, Excel, and Outlook). Basic experience maintaining website and social media accounts. PREFERRED QUALIFICATIONS Minimum one year of administration experience, healthcare setting preferred. Experience using Quickbooks, scheduling software, task management software, MailChimp, Instagram, Facebook and/or Fullscript. KEY RESPONSIBILITIES Patient & Front Desk Operations Serve as the primary point of contact for patients. Have a “business partner,” mindset, managing the operation and providing support to the physician as she provides care to the patients. Schedule, confirm and manage appointments. Create a warm, organized, and reassuring patient experience. Check patients in and out; process payments for visits and apothecary items. Field and prioritize patient questions and concerns with professionalism and care. Clinic Operations & Administration Open and close the clinic. Manage daily office operations and workflow. Create, update, and maintain office procedures and systems and prioritize medical and business concerns as needed. Support the physician with administrative and operational needs. Maintain accurate records, scheduling & documentation. Anticipate needs and proactively problem solve. Financial & Inventory Management Run credit card machine, reconcile daily, batch reports, and prepare bank deposits. Enter financial transactions into QuickBooks. Manage purchasing, receiving, and inventory for clinic and apothecary within allotted budget. Facilities & Property Coordination Oversee cleanliness, organization, and appearance of the clinic. Manage all office communications with internal and external stakeholders. Maintain office equipment, organize cleaning services, and maintain an organized clinic. Serve as point of contact for on-site tenants as needed. Marketing & Systems Support Provide light marketing support (newsletters, website updates, social media, autoresponders, etc.). Assist with ongoing operational improvements. SCHEDULE & COMPENSATION Pay Rate : Hourly, non-exempt. $18-$25 (DOE); pay rate increases when duties are added, and expertise is demonstrated. Days/Hours : Mon, Wed-Fri = 8:30am - 3:30pm; Tues = 8:30am - 5:30pm. Summer hours (July - August) = 10:30am - 5:30pm. Benefits Include: Quarterly performance-based bonuses. 1 year “staying” bonus. The clinic is closed 4 weeks out of the year, schedule to be determined on a quarterly basis dependent upon the needs of the clinic and staff.
